Finance and Administrative Specialist
Aberdeen, NC 28315 (Primarily On-site, Part-Time Remote Possible)
Full-Time | Salary: $48,000 - $65,000 per year (commensurate with experience)
Job Summary
The Finance and Administrative Specialist will report directly to the business owner and take ownership of transforming broken or inefficient financial and administrative systems into streamlined, efficient, and profitable operations using Enterprise Resource Planning (ERP) systems. This critical role will drive rapid growth by overhauling accounting, budgeting, and administrative processes, managing accounts receivable/payable (AR/AP), purchasing, and payroll, and ensuring compliance with interstate and international commerce regulations. The specialist will collaborate with engineering and sales teams, enforce and update company policies, oversee daily facility operations, and build strong relationships with major defense and communications industry partners. Experience with Shopify, Gusto, Finaloop, Material Requirements Planning (MRP) systems, Google Workspace, and TaxJar is a major plus. The position is primarily on-site in Aberdeen, NC, with the possibility of part-time remote work, to be discussed during the interview process.
Key Responsibilities
Diagnose and overhaul broken or disorganized accounting processes within ERP systems, establishing streamlined, cost-effective workflows to maximize profitability.
Manage AR/AP with precision, handling invoicing, payment processing, and vendor relations for domestic and international partners.
Execute strategic purchasing, sourcing materials and managing inventory to meet production demands and partnership commitments.
Develop and maintain robust budgets, delivering insightful financial reports and forecasts to the business owner to drive strategic growth.
Administer payroll with accuracy, ensuring timely employee payments and full compliance with tax regulations.
Enforce administrative policies to establish operational consistency across the organization.
Proactively review and revise company policies to align with legal, industry, and partnership standards, particularly for defense and communications sectors.
Collaborate closely with engineering and sales teams to align financial and administrative processes with product development, sales objectives, and partner expectations.
Maintain a daily on-site presence in Aberdeen, NC, to oversee facility operations, manage access, and ensure a secure, efficient workplace, with potential for part-time remote work as discussed in the interview process.
Ensure rigorous compliance with federal, state, and international regulations, including multi-state sales tax, VAT, tariffs, export controls, and defense industry standards (e.g., ITAR).
Leverage expertise to design and implement best-in-class financial and administrative systems, addressing inefficiencies and enabling rapid scalability with high-profile industry partners.
Manage administrative tasks, including email correspondence, scheduling, and document organization, to support cross-functional teams.
Requirements
3+ years of experience in bookkeeping, accounting, or administrative finance roles, with a proven track record of diagnosing and resolving broken or inefficient financial systems.
Advanced proficiency with ERP systems for accounting, budgeting, and inventory management (training on specific systems provided if needed).
Expertise in interstate and international commerce, including sales tax, customs, export regulations, and defense industry compliance (e.g., ITAR).
Strong knowledge of payroll management, including tax withholdings and reporting.
Demonstrated ability to develop, implement, and enforce administrative policies in a fast-growing or defense-related business.
Experience with Shopify, Gusto, Finaloop, Material Requirements Planning (MRP) systems, Google Workspace, and TaxJar is a major plus.
Exceptional collaboration skills to work effectively with engineering, sales, and external partners in the defense and communications industries.
Superior organizational skills, meticulous attention to detail, and the ability to thrive in a dynamic, high-growth environment.
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred; certifications (e.g., Certified Bookkeeper, CPB) highly valued.
Advanced proficiency in Google Sheets or Microsoft Excel for budgeting and financial analysis.
Outstanding communication skills to engage directly with the business owner, cross-functional teams, and high-profile industry partners.
Commitment to a primarily on-site role in Aberdeen, NC, with daily oversight of facility and access management; part-time remote work may be possible, subject to discussion during the interview process.
U.S. citizenship required; background check and security clearance eligibility preferred due to sensitive defense-related work.
